c) Exam Proctoring Data

If you sit a remotely proctored GAICC certification exam (exam.gaicc.org), we additionally collect:

  • Webcam video, microphone audio, and screen recording during your exam session
  • Periodic snapshot images captured during the session
  • AI-generated flag events (e.g. face detection, object detection, audio activity)
  • Human proctor review notes and final decisions on flagged sessions

Why: to verify your identity and protect the integrity of the certification exam.

AI use: face, object, and audio detection run on-device, in your browser — this data is not sent to a third-party AI vendor. No exam outcome is ever decided by AI alone; every flagged session is reviewed by a human proctor.

Retention: webcam, audio, and screen recordings, along with snapshot images, are retained for 3 years and then automatically deleted. AI flag logs, proctor review notes, and exam results are retained as part of our long-term certification and audit record.

Storage: exam data is stored securely with our infrastructure providers, with appropriate safeguards for any international data transfer.

d) GAICC AI Course Advisor

GAICC provides the GAICC AI Course Advisor on shop.gaicc.org to assist users with questions about GAICC certifications, training, webinars, and related services.

When you interact with the AI Course Advisor, we may process information you provide, including your name and chat messages, to personalise your experience, generate AI-assisted responses, operate the chatbot, improve the quality of our services, and maintain the security and reliability of the platform.

Conversation Availability and Storage: For your convenience, conversations remain accessible through the chatbot interface for approximately one (1) hour after your most recent activity. Chat conversations are processed and stored securely on GAICC’s systems to operate the AI Course Advisor. Conversation data may be retained for operational, security, troubleshooting, service improvement, audit, and legal compliance purposes in accordance with our data retention practices.

The AI Course Advisor generates responses automatically using artificial intelligence. While we strive to provide accurate and helpful information, AI-generated responses may occasionally be inaccurate, incomplete, or outdated and should not be considered professional, legal, financial, or medical advice. Users should independently verify important information before relying on AI-generated responses.
